Music Production Management Policy

Context
Due to the increasing volume of projects we are receiving, we have updated our production management policies to better organize timelines and ensure that each production is completed at the expected level of quality. We have observed that requested materials (mainly project stems) are often delivered late, which in turn leads to requests for accelerated delivery, affecting scheduling and overall work quality.
For this reason, we establish clear rules regarding deadlines, project hold periods, and reactivations.
Objective
To ensure an efficient workflow, organize production timelines, and maintain the quality of all our music productions.
1. Project Start and Material Delivery Deadlines
1.1 Mixing and Mastering Services
For mixing and mastering services, the project is considered to have started once the first installment (initial payment) has been made. From that moment, the artist and/or band will have a maximum period of 4 weeks (28 consecutive days) to deliver all materials required for production.
1.2 Full Production (composition, arrangements, and full production)
For full production projects, the 4-week (28 consecutive days) period will begin from the moment the assigned producer formally requests the final materials, provided that such request has been duly communicated to the artist and/or band.
A formal request is understood as any written communication (email, instant messaging, or another agreed-upon medium) or verbal communication (video call, phone call, meeting) in which it is clear that both parties have been informed of the request.
📌 Note: This deadline is intended to ensure that production progresses smoothly and that agreed final delivery timelines can be met.
2. Inactive Projects and “On Hold” Status
Projects that exceed 4 weeks (28 consecutive days) of inactivity without delivery of the requested materials will automatically be placed "on hold".
The artist and/or band may reactivate a paused project by paying a reactivation fee. The current fee at the time of publication is USD 25. This fee may be modified in the future due to pricing adjustments; in such cases, Bad Wolf Records® will notify its clients with reasonable advance notice.
The revisions included in the contracted package will not be forfeited due to the project being placed on hold; however, no revisions will be executed while the project remains in On Hold status. Revisions will be carried out only after the project has been reactivated and scheduled subject to availability.
Both revisions and final delivery will be rescheduled based on studio availability and the timelines stipulated in the contracted service.
3. Production Revisions
Revisions will be carried out according to the contracted package. The number of agreed revisions will not be affected by a project pause; they will remain available for the project, but their execution is conditional upon reactivation and rescheduling.
Additional revisions outside the contracted package may be subject to additional charges, as specified in the corresponding offer.
To optimize communication and time management, revisions will preferably be conducted via Discord (official channel or direct call), unless another method is agreed upon.
4. Scope and Validity
This policy applies to both active and future projects.
A 2-week grace period is granted from the publication date of this policy (January 19, 2026). The policy enters into force on February 2, 2026, without exceptions unless otherwise agreed in writing.
5. Artist Commitment and Impact on Final Delivery Timelines
The artist and/or band is expected to cooperate with the established timelines in order to guarantee production quality and efficiency.
Any delay in the delivery of materials by the artist will directly affect the final delivery timelines. Bad Wolf Records® is not obligated to accelerate production or prioritize one project over others when reactivation results from delays caused by the artist.
Any special request or exception must be communicated in advance to the Bad Wolf Records® team and will be subject to evaluation and availability.
6. Material Storage and Preservation of Work Progress
All materials delivered and any progress made by Bad Wolf Records® will be securely stored for a maximum period of 24 months from the date the project enters "On Hold" status.
If more than 24 months pass without reactivation, Bad Wolf Records® may archive the project. Files may then be subject to integrity checks, additional recovery fees, or, in extreme cases, secure and notified deletion, always with reasonable prior notice to the artist.
Payments made for work already completed are non-refundable as a result of artist inactivity or the project being placed on hold.
7. Reactivation Fees and Future Changes
The reactivation fee in effect at the time of publication is USD 25.
Bad Wolf Records® reserves the right to modify this fee in the future due to changes in cost structure or commercial policy. In such cases, clients will be notified with reasonable advance notice.
Reactivation, as well as the execution of revisions and deliveries, will be subject to the fee in effect and to studio availability at the time of reactivation.
8. Responsibility and Limitations
Bad Wolf Records® commits to safeguarding the materials and providing the contracted services as agreed. However, it will not be responsible for release delays, commercial losses, or consequences associated with late material delivery by the artist.
Bad Wolf Records® is also not obligated to accept delivery requests under “rush” timelines that were not previously agreed upon. Any urgent service will be quoted separately and accepted only if actual availability allows.
9. Communication and Proof of Requests
For clarity, any request related to project start, deliveries, or significant changes should preferably be documented in writing (email, message via an agreed platform). Verbal requests (calls, video calls, meetings) will also be considered valid when there is confirmation from both parties that the request was made and understood.
